Quinn welcomed all attendees and introductions were made. Several new members were in attendance and thanked for being at one of the largest gatherings for the spring workshop. Approval of Minutes Minutes from the January meeting at APAP are en route. Approval delayed until the membership meeting tomorrow. Financial Report Treasurer-Elect Jim Clark reported showing an account balance of $6,684.65 with 57 active members. Election of Officers The nominating committee proposed the following officer slate: Chair – Cynthia Quinn, TX Vice Chair – Jenni Taylor/Swain, AR Treasurer – Jim Clark, TX Secretary – Hilarie Benedetto, TX MAAA – Jenny Tritt Members – Maureen Patton, TX, Kass Prince, TX, Susan Thomae- Morphew, TX and Ruth E. Whitt, TXAR. Discussion was made on a replacement for Terry Grufik (retired) and Mark Beckwith (no longer presenting) from Oklahoma. Group would like to appoint a member from the Oklahoma or Louisiana area. Decision tabled until the meeting tomorrow. Approval of 2003-2004 Budget Cynthia Quinn, Chair Elect, presented the 03/04 Budget for discussion. Most of the discussion focused on the annual SWPAP event at Arts Midwest. Cynthia explained to the new members the traditional nature of this event and how we take agents out as a group and show them what southern hospitality is – they are our friends not just business associates. It is where we splurge the most to keep relationships healthy and positive with over 100 agents who attend. Recommendations were made to have party in walking distance of hotel to keep costs down under $30. Last year some members contributed $30 for their ticket plus $30+ for agents’ ticket(s). It was mentioned that SRO has already planned a party at the baseball game on the same night as the SWPAP party. SRO’s bus is leaving at 5:30 pm for the 7pm game. Maureen Patton moved to assign Toby Mattox communications logistics in light of a possible conflict with SRO and Richard Huff seconded. Other Business Jim Clark brought up a possible program for the 2004 spring workshop. Recently, he attended an education workshop at the Kennedy Center. He was very impressed with their educator workshops, staff training and helping organizations develop study guides for programs. Most grants have to have an educational component now. The workshop costs $3500 so we could take $2000 budget then raise the rest. The workshop would need to be at an authorized KC education partner. Toby Mattox moved to have spring 2004 workshop placed on the agenda for tomorrow. Ruth Ellen Whitt seconded. Cynthia Quinn raised a past question that was discussed at a previous meeting concerning the parameters of a member and if auxiliary membership was acceptable in the bylaws. The issue was discussed at the APAP meeting in January. Completion of discussion postponed until tomorrow when minutes from that meeting could be read. Cynthia Quinn will add these items to tomorrow’s agenda on flip charts in the room. Meeting adjourned at 1:40pm.
